Booking Forms & Procedures

St. George’s Hall Complex is operated and Maintained for Methwold Parish by:


Methwold Parish Council & The Hall Working Group


The administrators are the PC Clerk and Group Co-ordinator on behalf of the above.

Rules For Hire & The Hire Agreement

ALL Hire Agreements Must be approved by the Hall Group Coordinator or Full PC prior to the hire date.

Application for hire must be made to the administrators. Once a date/s are confirmed as available you must secure the venue booking with a completed Booking Form and the Hire Fee for all bookings. These together with a Damage Deposit should be returned to an administrator A.S.A.P. after of confirmation of availability and within a given time to secure the date.


Payment & Damage Deposits


Please Print, Complete & Return the HIRE AGREEMENT PAPERWORK & DAMAGE DEPOSIT details below. If you have any difficulty with this please contact the The Clerk and a printed set can be sent out via Royal Mail, but this can obviously take a few days.

Single Bookings

For single bookings full payment is made prior to the event and at the time of booking together with a returnable Damage Deposit of £50. Please see Terms & Conditions (NB. Damage liability is not limited to the deposit amount.) Please see Terms & Conditions


Multiple Bookings

For multi-bookings a deposit of 25% is required, with a Damage Deposit of £100. Please see Terms & Conditions.(NB. Damage liability is not limited to the deposit amount.)


When the administrators have received your booking paperwork and payments, the facility will be booked in your name and an invoice issued by the Clerk. The booking details will then be passed to the caretaker who will oversee access etc. to cover your event/s

Cancellation Policy

For “One Off” bookings which are cancelled 30+ days prior to the date, the hire charge will be refunded less an admin charge of £5.


If the booking is cancelled between 29 & 2 days prior to the date, 50% of the hire charge less the £5 admin charge will be returned. Cancellations less than 2 days in advance will be liable for the full charge.


Organisations with block bookings who find that they need to cancel at short notice may petition the Parish Council for a reduction or remission of their charge.

Please Note:

Once the availability of the facilities you require have been confirmed by the administrators and booked provisionally you will have 28 of days to return a completed Booking Form together with your Hire Fee and Damage Deposit to secure the date as a confirmed booking. Where a completed form or further contact has not been received by the administrators within the given period this may result in the date being released to the next enquirer. Please read this and all other Terms & Conditions which apply to hiring the facilities.
